Team Overview

 

Results for America’s Finance & Operations Team manages all of the organization’s financial resources. This includes but is not limited to: developing and monitoring the organization’s annual budgets and monthly/quarterly financial reports and tracking/paying all of the organization’s contracts, invoices, subgrants, and staff reimbursements. Additionally, the Department oversees financial planning and analysis, treasury management, grant budgets, fiscal policies, audits, 990 tax filings, and IT infrastructure.

 

Position Overview

 

The Senior Manager, Grants & Contracts, will (1) manage RFA’s grants portfolio; (2) manage the organization’s development and tracking of contracts with all consultants, subawards and contracts; (3) execute RFA’s compliance activities and requirements; and (4) assist with other finance and operations management functions.

 

This is a full time, exempt position, based in a home office anywhere within the U.S.

 

Position Reporting Relationship

 

The Senior Manager, Grants & Contracts, will report to the Director, Finance & Operations and collaborate closely with the Development Team, the Senior Manager, HR, and the Finance & Operations team members.

 

Position Responsibilities

 

Grants Management (60%) 

 

  • Partner with the Director and VP of Finance & Operations, Development team, and relevant Program Teams to administer RFA’s grants portfolio:
    • Manage and implement the development of new grant/proposals/renewal budgets;
    • Monitor grant spending for RFA’s grant agreements in order to support RFA’s management of grant funds effectively, efficiently, and in accordance with approved grant budgets; 
    • Prepare internal quarterly grant reports for RFA’s Vice Presidents to highlight successes and challenges in grant spending;
    • Manage and prepare for the implementation of quarterly grant check-in meetings with pertinent program leaders and the the Development team to review spending rate of each grant, determine if modifications or extensions need to be requested from the funder, and assess progress throughout the grant cycle;
    • Lead all financial grant reporting to fulfill grant reporting requirements, in partnership with the Development team and external Accounting firm;
    • Liaise and meet with external funding partners and RFA program staff;
    • Meet with Program Leaders quarterly to review grant updates and reclasses, and ensure that grant reclasses are reflected in the monthly close process;
    • Review unrestricted expenses quarterly to shift unfunded expenses to grants;
    • Manage the schedule and requirements for processing grants/ffs invoices, in partnership with Associate; and
    • Ensure compliance with donor and grant audits, providing necessary financial information and reports.
  • Lead RFA sub-granting process, including:
    • Partner with program teams to implement the RFA sub-granting process;
    • Act as a primary thought partner of the Director to streamline and improve the sub-granting process, templates, and tools in order to make the process more effective and efficient;
    • Manage tracking and monitoring of subgrantees; tracking submission of subgrantee due-diligence documentation, grant agreements, and subgrantee reports;
    • Monitor subgrantee reports and spending levels and flag any over/under spending to Program Leads;
    • Liaise between subaward recipients and RFA’s Vice Presidents and the RFA Finance and Development team as necessary;
    • Oversee the development, payment, allocation, and tracking of subawards and fee-for-service contracts to the organization’s strategic partners;

Contract Management (15%) 

  • Manage the development, allocation, and tracking of RFA’s contracts with all consultants, subawards and contracts, in partnership with the Finance Team:
    • Oversee financial aspects of contracts, ensuring compliance with contractual terms and conditions;
    • In partnership with Associate, ensure that the Finance team has all contract documentation necessary for record keeping and invoice payment purposes; and
    • Track organizational contract spending on businesses owned by historically underrepresented populations.
  • Develop and manage a calendar of contract start/end dates and partner with RFA Vice  Presidents and the RFA Finance & Operations Team on contract renewals at the appropriate times; and
  • Identify tools to monitor and track contract spending more effectively.

 Organizational Compliance (15%) 

  • Lead the management of organizational compliance requirements including but not limited to:
    • Monitor & ensure RFA meets annual compliance calendar deadlines, in partnership with Finance Associate and SM, HR & P&C Team;
    • Update and manage RFA compliance tracker;
    • Manage the administration & renewal of RFA org registrations and reporting in compliance with federal and state/city/jurisdictional laws/requirements: General Liability, IRS 720 reporting, 403(b), IRS-5500 reporting, Charitable Registrations, and execute relevant state tax reporting and/or withholdings (DC - FR-900Q Quarterly Return), in partnership with the Finance Associate;
    • Liaise and serve as primary RFA “point” person with key external RFA insurance and compliance consultants: Labyrinth Inc (Charitable Registrations) & Alliance (General Liability Insurance);
    • Manage the annual update of the Fiscal Policies and Procedures Handbook (FPPH), research best practices, review current practices and make recommendations for updating and improving FPPH; and
    • Provide support for the annual audits, 990 tax filings, and other legal filings.

Budget and Team Support (10%) 

  • Support organization-wide budget process (annual planning and mid-year re-forecast):
    • Create budget templates, and collaborate with department heads to ensure accurate department budgets and alignment with grant budgets.
  • Analyze budget to actual reports, research variances, meet with Program staff and support Director in plan of action;
  • Create and improve finance and budget reports, tools, analyses and presentations to ensure that RFA’s resources are managed effectively;
  • Project manage and support one-time Finance & Ops team special projects or organizational initiatives where needed, including IT/operations policies and procedures support;
  • Support ad hoc requests from the VP of Finance & Operations, Director of Finance & Operations, and/or the Executive Team for information and/or reports;
  • Provide grants management, contracts, and budgeting training to RFA staff; amd
  • Serve as first-line backup to Finance & Ops team colleagues across key functions: AP, Risk Management, Compliance, and IT; and
  • Assist with administrative tasks to support the Director when they are unavailable or out of office.

Experience, Competencies, and Qualifications 

 

Overview: The ideal candidate for this role should have superior organizational skills, and exceptional budgeting, monitoring, grants management, and reporting skills. The Senior Manager, Grants and Contracts should have experience working within a nonprofit organization, and be well-versed in nonprofit accounting principles and grants management best practices. They should also have experience managing grants with national philanthropies, managing multi-million dollar grant budgets, ensuring that grant funding is used efficiently, streamlining grant and/or contract administration. 

 

The ideal candidate will have the following qualifications, as well as an alignment with Results for America’s mission and organizational values:

 

  • 8 - 10 years of relevant work experience and college degree;
    • Work experience within government (federal, state, and/or county/city) preferred.
  • Experience guiding at least one FTE;
  • Ability to prioritize work projects;
  • Experience delegating tasks;
  • Experience managing multiple projects at once;
  • Demonstrated ability to work with groups of people/stakeholders;
  • Strong preference for progressive experience in support roles for a finance or development function in an nonprofit organization and/or grants or contracts management for a nonprofit organization similar in size to RFA; 
  • Strong preference for a Bachelor’s degree in a related field (such as business or finance management);
  • Experience budgeting for and managing 5-8 figure philanthropic grants, including grants spread across multiple departments and cost categories;  
  • Strong project management and organizational skills including strong capacity to manage and coordinate simultaneous projects independently and successfully prioritize among multiple tasks;
  • Highly organized and detail-oriented with a demonstrated ability to work independently to drive things to completion; 
  • Prior knowledge or experience developing and implementing grants/contracts management org policies, systems and processes to keep the organization abreast with current practices and informed of best practices; 
  • Effective communication skills with the ability to communicate finance and grants management concepts to various levels of staff, share relevant information in a timely manner, and maintain a high level of professionalism; 
  • Collegial team player with the ability to be nimble, flexible, and responsiveness in a dynamic environment; 
  • Data analysis and spreadsheet skills relevant to nonprofit finance and/or development functions a strong plus; and
  • Alignment with Results for America’s mission and core values.

 

Salary and Benefits

 

Results for America offers a compensation package that includes:   

  • A competitive base salary commensurate with relevant work experience; and
  • A benefits package that includes choice in medical plans; dental/vision coverage; paid time off; a 403b retirement plan with employer contribution.  

 

The salary range for this position is $92,906 - $111,034.

 

New hires are typically brought into the organization at a salary between the range minimum and the salary range midpoint depending on qualifications, internal equity, and the budgeted amount for the role.
