SUMMARY: Completes preventative and day-to-day maintenance and repair of facilities, including oversight of contractors and vendors, vehicles, equipment, and grounds. The incumbent supervises staff and volunteers in maintenance and custodial work, ensures compliance with government safety standards, and manages information technology functions.
ESSENTIAL DUTIES AND RESPONSIBILITIES
New Construction, Maintenance/Repair, and Custodial:
- Coordinates with or directs employees, volunteers or contractors engaged in repair, painting, maintenance, and performing structural repairs to buildings;
- Coordinates with or directs employees, volunteers or contractors engaged in ground maintenance activities such as mowing lawns, trimming hedges, removing weeds, and raking and disposing of leaves and refuse;
- Develops, implements, coordinates, and maintains records of a preventive maintenance program;
- Plans, develops and implements new methods and procedures designed to improve maintenance operations, minimize operating costs and effect greater utilization of labor and materials;
- Establishes or adjusts work procedures to meet schedules; reviews work orders to determine work priorities; schedules repairs and maintenance;
- Confers with directors and program managers to coordinate activities of individual departments to resolve maintenance problems and recommend measures to improve conditions;
- Inspects facilities and equipment to determine needs and extent of service, equipment required, and maintenance or repair needed;
- Approves the specifications and recommend contractors to perform new projects, maintenance, or repair services, using established agency procedures. Supervise and inspect work performed and recommend payment upon satisfactory completion of the work;
- Manages supply orders;
- Maintains infection control procedures and ensures implementation;
- Serves as liaison with contractors, architects, engineers, and material and equipment suppliers;
- Ensures facilities are clean and present an attractive appearance by working with custodial staff.
- Supervises/trains staff and volunteers to ensure maximum efficiency, accuracy, and safety of work.
- Serves as a member of the facilities planning committee (current & future facilities)
Safety Information Systems/Telecommunications:
- Monitors and recommends systems and procedures to ensure the security of all facilities (i.e. cameras, monitors, alarms, security gates, etc.);
- Ensures facilities are compliant with OSHA health and safety practices;
- Educates and trains staff on the proper use and care of agency equipment and facilities;
- Keeps inventory of hazardous materials and material safety data sheets (MSDS);
- Ensures that the network and essential telecommunications’ systems, including phones and internet, function properly;
- Evaluates and recommends new technologies based on detailed business requirements provide by team members.
Other:
- Adheres to federal and state building codes, statutes and regulations, as well as Marjaree Mason Center procedures;
- Operates within department budget and monitors expenditures of funds in budget;
- May be asked to present to the Board;
- Maintains the Fixed Assets Inventory, following the requirements of GAAP;
- Works as a team member and supports the mission and goals of the agency and programs;
- Safeguards assets of MMC, including merchandise and other assets;
- Safeguards clients’ security and confidentiality;
- Communicates regularly and provide regular department and employee updates to the Executive Director about facility needs, project status, and risk assessment for agency.
- Oversees agency office and space leases and works directly with landlords;
- Responsible for ensuring there is adequate support for MMC’s 24/7 operations; this will include responding outside of the traditional office hours;
- Serves as a member of the MMC’s leadership team;
- Responsible for staff supervision and assignments within the department, including staff scheduling, coaching, performance evaluations, timesheet review and use of Paylocity system, and general oversight;
- Regular attendance and promptness;
- Other duties as assigned.
- The Marjaree Mason Center is 24/7 operation and all employees, at any point of time, may be asked to perform other work duties from those normally assigned such as answering the hotline or working in the shelter.
