Summary of Position:

The Equity Fund is seeking a highly organized and detail-oriented Executive Assistant for the Programs Division. The Executive Assistant will report to the VP of Programs and will be a member of The Equity Fund’s Program Division which houses all of The Equity Fund’s grantee-facing programs including Grants and Power Building, Policy Accelerator and Communications Accelerator.

Position Responsibilities:

Program Division Support (60%)

  • Provide administrative support to the Programs Team to ensure efficient team operations
  • Manage team-wide calendaring and own complex scheduling needs
  • Support the VP of Programs, Director of Grants and Power Building and the Director of the Policy Accelerator by performing tasks related to the Team’s systems and processes
  • Act as point of contact for internal and external stakeholders for the Program Team and exhibit polite and professional communication via phone, e-mail, and other communications
  • Draft, refine and distribute communications, such as memos, emails, invoices, reports and other staff correspondence as appropriate
  • Draft and edit documents.
  • Maintain electronic filing system and organizational systems for the Programs Team
  • Handle logistical aspects for major all-team events such as convenings, board meetings, staff retreats, ensuring seamless execution.
  • Make travel arrangements for the VP of Programs, Director of Grants and Power Building and Director of the Policy Accelerator such as booking flights, cars, and hotel or restaurant reservations
  • Facilitate the creation of meeting and program materials to ensure smooth operations. 
  • Collaborate with the Accounting Team to prepare expense reports, budgets, and bill payments as required.
  • Address ad hoc needs of VP of Programs and the Programs Team.

Grantmaking Support (40%)

  • Support the c3/c4 grantmaking processes, including but not limited to tracking the status of applications, maintaining accurate grantee contact lists, reviewing applications for completeness, supporting Program Officers during grant review meetings, filing executed grant agreements and reports (interim and final).
  • Serve as a primary contact point for grantee organizations by fielding questions, owning the facilitation of document collection, scheduling calls and meetings, and processing data requests, essential interactions and relationship management that directly impacts funding.

 Experience and Skills:

  • Minimum two years of relevant experience.
  • Demonstrated interest in and commitment to racial justice, democracy, and making change. 
  • Excellent written (writing, editing, and proofreading) and oral communication skills.
  • Strong organizational skills and attention to detail.
  • Excellent time management skills, managing multiple tasks simultaneously and prioritizing effectively.
  • Ability to react with appropriate levels of urgency to situations that require quick response or turnaround.
  • Ability to exercise discretion, independent judgment, and maintain integrity in handling information and situations.
  • Demonstrated knowledge and experience with project management.
  • Ability to clearly communicate and collaborate with a team
  • Strong writing and editing skills
  • Understanding financial reports, including balance sheets, cash flow statements, and income statements, is a plus.
  • Some experience in political or community organizing is preferred. 
  • Some knowledge of or interest in clean energy and climate subject matter is preferred.
  • Ability to travel domestically 10% annually.

Employees can enroll in a 401K retirement plan that includes a generous employer match. Employees also earn 160 hours of paid vacation time, 10 days of sick leave, 10 holidays, and 5 personal leave annually. 

Compensation:  The salary range for this role is $75,000-90,000. New hires are typically hired into the middle portion of the range, enabling employee growth in the range over time. Actual placement in range is based on job-related skills and experience, as evaluated throughout the interview process. Pay ranges are adjusted based on the cost of labor in each respective geographical market.
