About Asian Americans for Civil Rights and Equality
The Asian Americans for Civil Rights and Equality (AACRE) network was launched in 2014 to focus on long-term movement building, capacity infrastructure, and leadership support for Asian Americans committed to social justice. There are currently 11 partnering member groups with unique strengths. Fiscal sponsorship, administrative, human resources and operational support are provided centrally for all of these groups so they can focus on their core programs.

Position Overview
The Donor Database & IT Manager plays a critical role in managing AACRE’s Customer Relationship Management (CRM) system, Salesforce, used to track revenue, donations and donor data across the AACRE network. The role involves managing the import of high volumes of donor data from dozens of platforms and sources as well as managing the complex donor acknowledgment processes and infrastructure while ensuring data integrity. With a focus on continuous improvement of processes and workflows, the IT Manager plays a leadership role in system administration, custom configurations, report building, staff training, and support in IT operations.
Key Responsibilities
Donor Database Leadership and Management Processes
- Own the daily/weekly import of revenue data to Salesforce from dozens of platforms and sources (Give Direct, Act Blue, Receipts Log, and more), utilizing multiple tools, including NPSP, DataLoader, and manual entry. Administer, manage, and update the related import templates and Salesforce backend mapping infrastructure as systems/needs evolve
- Own and manage the donation acknowledgment & notification process from start to finish, including leading the cross-departmental acknowledgments team, weekly project management, running/processing weekly reports and related special projects
- Own and administer all broader processes and infrastructure related to donation acknowledgment & notification, including building/maintaining a complex suite of reports and templates and leading an biannual review process in collaboration with leadership across AACRE groups and departments.
- Propose and implement solutions for improved data integrity and quality control in Salesforce and related business process systems (Quickbooks, Revenue Log), including recurring monthly reconciliations and one-off data clean-up projects
- Propose and implement infrastructure updates in Salesforce as an admin, such as creating/modifying custom fields and updating page layouts, and work in partnership with IT Director and Salesforce Admin to implement key changes
- Collaboratively lead and contribute to ongoing strategy, best practice, and workflow discussions/projects in partnership with the AACRE Capacity Salesforce team, and anticipate detailed implications for any proposed process shifts across multiple business processes
- Train and on-board multiple staff in use of Salesforce, Apsona, NPSP, Asana, and DataLoader
- Create and maintain detailed documentation used by multiple teams for ongoing work and trainings
- Contribute frequently to cross-departmental projects (Finance, Development, HR) on an as-needed basis, as relates to establishing and improving upon systems, and developing related processes and documentation
- Assist in preparing and monitoring team budgets to ensure alignment with program and organizational goals
- Manage vendors and contractors ensuring they meet project requirements and contractual compliance
- Oversee the Salesforce admin contractor
- Manage data decisions related to Salesforce and Every Action integrations in close partnership with Every Action contractor, Salesforce admin contractor, and Director of IT
- Identify and lead decisions related to business process changes within Every Action data integrity for donor contacts
IT Support
- Develop and implement strategic plans and solutions, as relates to business process flowcharts, inventory management of software and hardware, rapid response, and digital security in partnership with the AACRE Director of IT
- Manage routine IT processes that are key for ensuring smooth and scalable operations
- Manage and coordinate ongoing projects in partnership with IT vendors, including helping to manage service transitions and providing guidance in monthly strategy meetings.
- Execute digital security measures, including overseeing and following up on Google Admin security alerts and sending reminders for mandatory software updates
- Help fill gaps and respond to time-sensitive scenarios, such as urgent help tickets
- Support core components of IT on- and off-boarding, including setting up staff accounts (Gmail, Zoom, Slack, RingCentral), managing user licenses, submitting hardware and software requests, and providing orientations for RingCentral and Flowscape.
Organizational Leadership
- Lead cross-functional teams, managing specific internal projects and serving on committees that influence the organization’s internal operations and culture
- Actively contribute to organizational strategic initiative and/or governance through participating in strategic planning, environmental assessments, analysis and provision of recommendation leveraging experience and expertise
Staff Supervision
- Oversee and manage IT Coordinator position, including assigning and directing work, setting clear expectations, providing guidance and coaching, identifying training needs, offering regular feedback to staff and ensuring team members meet their objectives and deadlines.
- Manage IT Coordinator’s development, conduct performance evaluations, make recommendations for corrective counseling if necessary, address conflicts and foster a positive and collaborative work environment
Other Duties
- Perform administrative duties as required for position
- Contribute to fundraising and development activities for the organization as needed

- Perform other duties as assigned to support the overall mission of the organization
Qualifications
- 2+ years of experience managing databases
- 1+ years of experience providing direct IT support to a wide range of staff
- Strong hardware, software, and database skills with an ability to learn new systems and keep up-to-date with changing technologies
- Strong experience working with, manipulating, and correcting data across multiple platforms
- High attention to detail and ability to conform to existing administrative structures, and plan improvements
- People-first approach, with strong communication skills that bridge the digital divide
- Fluency in working with Macs and PCs
- Ability to explain technical concepts to a wide variety of audiences
- Strong project management skills, ability to reprioritize and problem solve with grace
- Strong written and verbal communication skills
- Commitment to AACRE’s mission, values, and aspirations, and ability to render these values into practice
- Ability to work independently and as part of a team supporting the diverse partners throughout AACRE

Reports to: Director of Information Technology
Hours: Full Time (40 hours per week, Monday to Friday, 9am to 5pm)
FLSA Status: Exempt
Union Status: Non-union position
Location: San Francisco Office. Eligible for hybrid work.
Salary: $97,500 – $105,000 per year
