POSITION ANNOUNCEMENT: DATA SERVICES MANAGER
As the official philanthropic and collaborative partner of Grand Canyon National Park, Grand Canyon Conservancy’s mission is to inspire generations of park champions to cherish and support the natural and cultural wonder of the Grand Canyon. GCC raises private funds, operates retail shops within the park, and provides premier educational programs about the natural and cultural history of the region.

The Grand Canyon Conservancy is currently seeking a Data Services Manager to serve as a critical member of the Philanthropy Operations team as the point person for daily operations of the department’s fundraising database. This hands-on role involves various administrative and managerial responsibilities, including donor-records oversight, data segmentation for direct response and events, support of digital fundraising programs (including building emails and donation pages), donation and gift processing and acknowledgment, supervision of the Philanthropy Database Coordinator who reports to this position, and reporting on all facets of database content, usage, and follow-up actions. Success in this position contributes to the team’s ability to meet the short- and long-term philanthropic goals of the organization.

The Data Services Manager position is a remote (PST, MT, Arizona Mountain time zone only), full-time, exempt, benefit-eligible position that reports to the Chief Philanthropy Officer.

PRIMARY RESPONSIBILITIES
The position demands attention to detail, accuracy, and the ability to work efficiently and independently while using various computer programs. Key to this role are the responsibilities to manage projects as assigned, anticipate project needs, discern work priorities, and meet deadlines. Duties vary with the workload and may include, but are not limited to:

Database Management
• Ensures the existence of a high-functioning fundraising database used by all members of the philanthropy team by developing and applying policies, procedures, and workflows that standardize entries of donor profiles and donations.
• Conducts audits of records and cleans up any discrepancies by confirming proper coding of gifts received via direct mail, online, in-park, credit card, bank deposit, and electronic funds transfer.
• Provides prospect and donor demographic data used by the philanthropy team when compiling invitation lists for onsite and virtual events and post-event outreach to attendees.
• Downloads data for segmented donation lists by building queries and utilizing exports to produce reports of actions and outcomes tied to each constituent profile.

External Departmental Collaboration
• Completes monthly reconciliations between systems in the Philanthropy and Finance departments to ensure the balance of all gifts and event payments and the accounting of stock and other wired transfers are recorded.
• Partners with Retail and Interpretive Sales team to account for membership sales are recorded in the philanthropy system.
Philanthropy Department Support
• Manages leadership annual gift (Grand Guardian) renewal data for frontline gift officers.
• Ensures updated donor profiles reflect accurate biographical and gift-related data.
• Notifies appropriate staff when special gifts are received and provides back-up support for gift verification documentation as used by department philanthropy officers and related positions.
• Works with the Events and Donor Engagement team to implement database policies and procedures that are essential for a comprehensive stewardship program.
• Provides support for GCC donor-facing email communications including editorial input and system- generated production.
• Coordinates the monthly pledge reminder and collections process by producing and mailing pledge payment reminders, monitoring past-due and collection reports, and providing gift officers with reports of activity.
• Build and maintains digital donation forms, related online infrastructure, and other assets, maintaining quality standards and following best practices.

Staff Management
• Directly supervises the Philanthropy Database Coordinator including assigning projects, setting timelines and outcomes for duties, developing and monitoring goals, and providing ongoing professional
development.
• Assumes duties and essential functions of the Database Coordinator role when absent or temporarily unavailable including weekly clean-up routines, acknowledgment file export, and monthly donation processing.
• Provides feedback through ongoing communication of successes and opportunities for improvement.

Other
• Maintains expertise by continuously reviewing emerging technologies/industry trends, determining best practice, and offering innovative suggestions for internal process improvements.

MINIMUM QUALIFICATIONS
• Five (5) years of relevant work experience in philanthropy fundraising systems.
• Advanced knowledge of fundraising or CRM systems such as Raiser’s Edge©NXT, Salesforce, or Microsoft Office Dynamics
• Microsoft Excel skills, including creating Pivot Tables, writing formulas, and macros.
• Proficiency in Microsoft Office tools, including Teams, SharePoint, and Outlook.
• Ability to learn and quickly apply new software and technologies as they emerge or are acquired.

PREFERRED QUALIFICATIONS, SKILLS, AND CHARACTERISTICS
• Intermediate knowledge of HTML for email building
• Demonstrated ability to learn and use digital marketing tools and technologies to send emails and build donation forms with a major email marketing platform.
• Extremely detail-oriented and highly responsive.
• Strong commitment to the ethical handling and management of donor information.
• Ability to balance work as part of a collaborative team while independently functioning in a remote work environment.
• Excellent communication skills, both written and verbal, including the ability to communicate with internal and external individuals concisely and logically.
• Ability to solve problems through research, consultation, testing, and identification of creative solutions.
• Collaborative and service-oriented approach to internal and external relationships.

WORKING CONDITIONS
• Performs approximately 80% of job duties in an office setting, working with a computer and colleagues, performing repetitive tasks.
• May be required to travel to the Grand Canyon.
• May occasionally work more than 40 hours per week or on weekends and holidays to meet critical deadlines and to attend special functions.
